Tracking gifts, refunds, and reports

How to review the gifts your church receives — the Recent gifts table on your dashboard and Giving page, opening a single gift for its full detail, what anonymous gifts look like, exporting to CSV, resending a receipt, and how refunds work.

Once gifts start coming in, you can see every one of them inside Psalmly. The Recent gifts table is your church's giving ledger — scan recent activity, open any gift for its full story, and export when you need a spreadsheet.

Where to find it

The Recent gifts table appears in two places, both fed by the same records:

  • On your admin dashboard — a compact view of the latest few gifts, with View all to jump to the complete list. A quick pulse-check whenever you sign in.
  • On the Giving page — the full, page-through table at the bottom. It's there in every state — recorded cash and check gifts show up even if you never set up online giving.

At the top sit three quick stats: gifts this month, your average gift, and how many recurring givers you have out of everyone who's given.

Who can see this. The gifts ledger and donor names are limited to admins a lead admin has given finance access — an admin without it doesn't see the Giving page at all, though church-wide totals and the board report stay available to every admin under Finances. Reading the table

Each row shows the donor, the fund they gave to, the date, the amount, and a status:

  • Succeeded — the gift went through and the money is on its way to you.
  • Processing or Pending — the gift is still clearing. Bank transfers usually take 3–5 business days; the receipt goes out and the money counts toward your totals once it settles.
  • Refunded or Partial refund — some or all of the gift was returned to the giver.
  • Recorded — a cash or check gift you logged by hand. There's no payment to clear, so it's simply recorded.

Failed attempts are hidden from this table. A small repeat symbol next to a name marks a recurring giver, and the method shows beneath each name — Card, ACH (bank), Cash, or Check.

Opening a single gift

Click any row to open the full record. You'll see:

  • The amount breakdown — the gift, the estimated processing fee, and the net to your church.
  • Payment method, frequency (one-time or recurring), and the date and time.
  • A confirmation number — the same one on the giver's receipt, handy if someone asks about their gift.
  • Whether the receipt has been emailed.

Anonymous gifts

A member can choose to give anonymously. When they do, the gift still appears in your table and still counts toward your totals — but the giver's name, email, and photo are hidden, shown simply as "Anonymous." This is by design: anonymity protects the giver's privacy in your church reports while keeping your records complete and accurate. (Their identity is always preserved on their own receipts and in Stripe, as the law requires.)

Exporting to a spreadsheet

Click Export CSV to download every gift as a spreadsheet — not just the page you're looking at — useful for your treasurer, your bookkeeping software, or your records. If you've filtered the table to a campaign, the export covers that drive's whole window instead. Anonymous givers stay masked in the export, just as they are on screen.

Resending a receipt

Every completed online gift triggers an emailed receipt to the giver automatically. If someone misplaces theirs, open the gift and click Resend receipt — Psalmly re-sends it right away (available once the gift has settled, and only if the giver has an email on file).

Cash and check gifts you recorded by hand deliberately send no receipt; the year-end statement is their acknowledgment.

Refunds

Need to refund a gift? Refunds are a sensitive, money-moving action, so they're handled in your Stripe dashboard, where you have the full controls and an audit trail. Open the gift and click Refund to go straight there. Once a refund is processed, the gift's status updates to Refunded in Psalmly automatically — and Psalmly emails the giver a refund notice and posts it to their updates, so there's no need to write to them separately.
